Google Calendar
I like using Google calendar because it is simple to use and syncs with my iPhone, iPad and is accessible from anywhere online. Key features include: sharing, two-way syncing with mobile phone’s, customizable reminders, work offline, sync with desktop applications and send email invitations. Free

Evernote
One of the best note-taking and reminder apps on the market. It’s available as a desktop (windows & mac), iPhone, Droid, and iPad.  It syncs across all devices so it save time. Free

Daily Tracker
Use the Daily Tracker to keep track of time.  It’s powerful, simple, and reliable. You can use it to take notes, record voice memos, and organize to-do lists. I personally use it to track time on activities I’m doing. $4.99

Dragon Dictation
Voice recognition software that is a great tool for recording quick note and converting them to text.  You can use it to record meetings even phone calls. Free

Things
In the middle as far as complexity and uses an inbox approach to getting your to-do’s done. It’s popular and costs $9.99

MindNode
Great for project planning, writing, and brainstorming. It helps map your ideas and thoughts. Use this to create, organize, and edit ideas.  $5.99

Toodledo
Popular app and is very comprehensive when it comes to to do list apps. You can customize this app to make planning fun. The app is priced at $1.99

Bento
Organize contacts, track projects, plan events and manage things. It’s one of the most popular personal database apps for the iPhone. $4.99

Zoho
Provides a suite of online web applications that are designed to increase productivity and simple collaboration. Their CRM software, (Customer Relationship Management) is great for management sales, contacts, and support. Free

Freedcamp
An affordable project management system.  Track hours worked, milestones, dates, share files even hold discussions for collaboration. Free

Manymoon
Online project collaboration tool that is build on a social networking platform that is designed to support multiple users. It is a good tool for team projects. Free

 

Priority Matrix App Review

Priority Matrix is a visual planning tool that is intuitive and easy to use with the basic functionality that makes organizing and managing your activities a cinch.

The layout gives you the ability focus on what needs your attention at that moment.  It’s a brilliant planning app that gives you the ability to focuses on the activity not the due date.

This app has just enough features to get things done so you don’t get overwhelmed and bogged down with too may options.

Key Features

The Layout
The four quadrants can be easily adapted to fit the priority method we teach in our book, Attack Your Day! Before It Attacks You. We use four colors to prioritize activities, which fit nicely with the four quadrants method. This is a powerful way classify tasks so you can focus on your high priorities.

PM

RED: Red stands for events and activities that are both vital and urgent. Red reminds us to STOP whatever it is we’re doing and go do this thing now!

GREEN: Green stands for GO! Do as many green activities as you can today because green is where the money is made, where relationships are nurtured and things get done.

YELLOW: Yellow stands activities and events that are not vital but have some value. Yellow reminds us to use caution.

GRAY: Gray stands for activities that are a waste of time! We use gray to remind us when we slip in to a state of TRIVIA and waste time.


Progressive Planning

Use Priority Matrix as a progressive planner.  There is no need to transfer unfinished tasks from yesterday’s to-do list to today’s to-do list.  When you prioritize activities with color, simply drag the activity to a different color to heighten the level of priority. Yesterday’s yellow activities become green and green activities become red. This save time and simplifies the planning process.

Drag-n-Drop
One of my favorite feature of this app is the “drag and drop” function. This makes changing the priority of a task fast, simply drag the task to a different color or “quadrant” and your done.

Assigning Deadlines
You have the flexibility to assign due dates and deadline to all activities. If you use the progressive planning method described above, only assign dates to activities that have “hard deadlines or project due dates”. This eliminates unnecessary over due message reminders. Simple focus on the reds first, then the greens, then the yellows.

Track Your Goals

Use Priority Matrix to carry your goals with you at all times. Review your goals daily as you plan your day and choose activities that you can do “today” that will keep you on the path to achieving your goal. Email Feature
This feature gives you the ability to share your activity list or projects by email. You can email one color “or quadrant” or the entire project. This is a great way to collaborate with others, or track team activity.

Multiple Projects
